eGate NITGoa ("the App") is a gate management system developed for the National Institute of Technology Goa (NIT Goa). This privacy policy explains how we collect, use, and protect your personal information when you use the App.

By using eGate NITGoa, you agree to the collection and use of information as described in this policy. The App is intended exclusively for students, faculty, and staff of NIT Goa.

2. Information We Collect

We collect the following information when you use the App:

Phone Number	Emergency contact
Parent/Guardian Phone	Emergency contact for leave requests
Profile Photo	Identity verification by warden/security
Hostel & Room Number	Residence identification
Leave Details	Purpose, dates, destination, mode of transport
Vehicle Details	Vehicle number, type (for vehicle gate pass)

3. How We Use Your Information

Your information is used solely for:

Processing leave applications and gate pass requests
Generating QR codes for campus entry/exit verification
Enabling wardens to review and approve/reject leave requests
Enabling security personnel to verify student identity at gates
Maintaining a record of campus entry/exit for safety purposes

We do not: sell, share, or transfer your personal data to any third party. Your data is used exclusively within the NIT Goa campus management system.

4. Data Storage & Security

All data is stored securely on Google Firebase (Cloud Firestore), hosted on Google Cloud Platform servers.
Authentication is handled via Google Sign-In, restricted to @nitgoa.ac.in email addresses only.
Data transmission is encrypted using HTTPS/TLS.
Access to the database is restricted to authenticated NIT Goa users only.

5. Data Retention

Gate passes (hostel entry/exit, day scholar): Automatically deleted after midnight on the day of creation.
Leave requests: Retained while active. Rejected requests are auto-deleted after 2 days.
Leave history: Retained for 7 days for warden reference, then automatically deleted.
Profile data: Retained as long as you have an active NIT Goa account.

6. Third-Party Services

The App uses the following third-party services:

Google Firebase — Authentication, database, and hosting (Firebase Privacy Policy)
Google Sign-In — User authentication (Google Privacy Policy)

No analytics, advertising, or tracking services are used.

7. Your Rights

You have the right to:

Access your personal data through the App's profile section
Update your profile information at any time
Delete your active leave requests and gate passes
Request deletion of your account data by contacting the administrator

8. Children's Privacy

The App is intended for use by college students and staff (ages 18+). We do not knowingly collect personal information from children under 18 years of age.

9. Changes to This Policy

We may update this privacy policy from time to time. Any changes will be reflected on this page with an updated "Last updated" date. Continued use of the App after changes constitutes acceptance of the updated policy.
